5. Booking via the website, by correspondence or by telephone call

If you make bookings either via our website, by correspondence (email or postal mail) or by telephone, we absolutely require the following data for processing the contract:

  • Salutation

  • First and Last Name

  • Postal address

  • birth date

  • Telephone number

  • Language

  • Credit card information

  • E-mail address

We will only use this data, as well as any other information you voluntarily provide (e.g., expected arrival time, vehicle registration number, preferences, comments), for processing your booking, unless otherwise stated in this privacy policy or you have given your separate consent. We will process your data, including your name, to record your booking as requested, provide the booked services, contact you in case of any questions or problems, and ensure correct payment.
The legal basis for data processing for this purpose lies in the performance of a contract pursuant to Art. 6 para. 1 lit. b GDPR.

6. Data processing for the fulfillment of legal reporting obligations

Upon arrival at our hotel, we may require the following information from you and your companions:

  • First and Last Name

  • Postal address and city

  • birth date

  • Place of birth

  • nationality

  • Official identification card and number

  • Arrival and departure day

  • Room number

We collect this information to fulfill legal reporting obligations, particularly those arising from hospitality or police regulations. Where we are required to do so under applicable regulations, we will forward this information to the relevant police authority.

Our legitimate interest lies in fulfilling the legal requirements within the meaning of Art. 6 para. 1 lit. f GDPR.

7. Storage and exchange of data with third parties

If you make bookings via a third-party platform (EasyBooking, Booking.com, etc.), we receive various personal data from the respective platform operator. In addition, inquiries regarding your booking may be forwarded to us. We will process this data, including your name, in order to record your booking as requested and to provide the booked services. The legal basis for data processing for this purpose is the performance of a contract pursuant to Art. 6 para. 1 lit. b GDPR.

Finally, we may be informed by the platform operators about disputes relating to a booking. In such cases, we may also receive data about the booking process, which may include a copy of the booking confirmation as proof of the actual booking completion. We process this data to protect and enforce our rights. This constitutes our legitimate interest within the meaning of Article 6(1)(f) GDPR.

8. Storage period

We store personal data only as long as necessary to use the aforementioned tracking services and for other processing activities within the scope of our legitimate interests. Contractual data is retained for a longer period due to legal retention requirements. These retention obligations arise from regulations concerning registration, accounting, and tax law. According to these regulations, business correspondence, concluded contracts, and accounting documents must be retained for up to 10 years. If we no longer require this data to provide services to you, the data will be restricted. This means that the data may then only be used for accounting and tax purposes.

9. Disclosure of data to third parties

We only share your personal data if you have expressly consented, if there is a legal obligation to do so, or if it is necessary to enforce our rights, in particular to enforce claims arising from the contractual relationship. Furthermore, we share your data with third parties to the extent necessary for the use of the website and the processing of the contract (including outside the website), specifically the processing of your bookings.

One service provider to whom the personal data collected via the website is transferred, or who has or may have access to it, is our web host, Ilongo GmbH. The website is hosted on servers in Austria. The data is transferred for the purpose of providing and maintaining the functionality of our website. This constitutes our legitimate interest within the meaning of Article 6(1)(f) GDPR.

Finally, when you pay by credit card on our website, we forward your credit card information to your credit card issuer and the credit card acquirer. If you choose to pay by credit card, you will be asked to enter all the necessary information. The legal basis for this data transfer is the performance of a contract pursuant to Art. 6 para. 1 lit. b GDPR. Regarding the processing of your credit card information by these third parties, please also read the terms and conditions and privacy policy of your credit card issuer.

10. Transfer of personal data abroad

We are entitled to transfer your personal data to third-party companies (contracted service providers) abroad for the purposes of the data processing described in this privacy policy. These companies are bound by the same data protection obligations as we are. If the level of data protection in a country does not correspond to the European level, we contractually ensure that the protection of your personal data is equivalent to that in the EU at all times.

11. Data security

We employ appropriate technical and organizational security measures to protect your personal data stored with us against manipulation, partial or complete loss, and unauthorized access by third parties. Our security measures are continuously improved in line with technological developments.

You should always keep your login details confidential and close the browser window when you have finished communicating with us, especially if you share the computer with others.

We also take internal data protection very seriously. Our employees and the service providers we commission are bound by confidentiality agreements and are obligated to comply with data protection regulations.

12. Cookies

14. User requests

When you contact us (for example via contact form or email), the following information provided by the user (hereinafter referred to as "personal data") is stored for the purpose of processing the request and in case of follow-up questions: title, first and last name, postal address, email address, telephone number.

The personal data disclosed by the user will only be processed and used to the extent necessary for the establishment, design and modification of the brokerage service and the brokered services.

We are entitled to transfer the collected personal data to third parties, in particular accommodation providers, insofar as this is necessary to process information requests, reservation requests or bookings.

The personal data collected in this way will be stored for a maximum of seven years and then deleted.

Data processing is necessary for the performance of a contract or for taking steps prior to entering into a contract, in accordance with Section 8 Paragraph 3 Item 4 of the Austrian Data Protection Act 2000 (DSG 2000) and Article 6 Paragraph 1 Letter b of the GDPR. Furthermore, by submitting an inquiry, the user gives their consent, in accordance with Section 8 Paragraph 1 Item 2 of the Austrian Data Protection Act 2000 (DSG 2000) and Article 6 Paragraph 1 Letter a of the GDPR, to the processing of the data they have provided for the purpose of handling their inquiry.

15. Objection to advertising emails

The use of contact details published as part of the legal notice for sending unsolicited advertising and informational materials is hereby prohibited. The operators of these pages expressly reserve the right to take legal action in the event of unsolicited advertising, such as spam emails.

16. Right to Information & Withdrawal

You have the right to request information about your personal data stored by us. We will gladly inform you in writing whether and what personal data we have stored about you. Furthermore, you have the right to correct any inaccurate personal data, as well as to block or delete your personal data.

17. Right to information

If such processing takes place, you can request information about the following:

  • the purposes for which the personal data are processed;

  • the categories of personal data that are processed;

  • the recipients or categories of recipients to whom your personal data have been or will be disclosed;

  • the planned duration of the storage of your personal data or, if specific information on this is not possible, criteria for determining the storage period;

  • the existence of a right to rectification or erasure of personal data concerning you, a right to restriction of processing by the controller or a right to object to such processing;

  • the existence of a right to lodge a complaint with a supervisory authority ;

  • all available information about the origin of the data if the personal data are not collected from the data subject;

  • the existence of automated decision-making including profiling pursuant to Article 22(1) and (4) GDPR and – at least in these cases – meaningful information about the logic involved as well as the significance and the envisaged consequences of such processing for the data subject.

You have the right to request information as to whether your personal data is being transferred to a third country or to an international organization. In this context, you may request to be informed of the appropriate safeguards pursuant to Article 46 GDPR relating to the transfer.

18. SSL encryption

This site uses SSL encryption for security reasons and to protect the transmission of confidential information, such as inquiries you send to us as the site operator.
